How to write a successful follow-up email?

You sent your first email and you didn’t receive as much aswers as you hope ? You should know that it is extremely rare to turn your prpspects into client with the first email. The follow up by email multiplicate by 5 the return rate! GetEmail will give you a few techniques to improve your follow-up emails.

  • When to follow-up? And how many reminders should you send? : If you send too much emails, your prospect will feel harassed, but if you don’t send enough, you take the risk of being forgotten. You should not send more than 7 follow-up emails. They should be spaced out but of good quality.
  • You can use the “Have you received my previous email?” techniques. This is called the copywritting. The trick is to copy your first email. We can see that many people who didn’t read your previous message, read this one. Wait 2-3 days before you send it.
  • Don’t send your follow-up email to anybody! Your reminder has to personalized according to your prospect : did he read your email? is it an user? The more you will split, the more you will have the chance to send the right message to the right person. There are email marketing tools such as MailChimp that allows a precise segmentation and the production of follow-up storylines.
  • How to make a follow-up email to an inactive client? A client is said inactive when he hasn’t bought you anyhting for 1 year. Yet again, you have to split well your inactive clients according to their last purchase to be compatible with their situation. Highlight the advantages of your products/services. Propose them special offers. In short, make them understand that they are well advised to trust you once again.
  • Be attractive : Give your prospects relevant information, that can be of interest to them!
  • Be different : If your first email was not convincing, you can follow-up with your prospect in talking about another advantage of your product or service, that might be more seductive.
  • You can propose to fix a phone call appointment. Asking a Yes/No will improve your response rate.

Is our service only working on LinkedIn?

Yes, but a form is available on your GetEmail dashboard to reconstitute the email address. Indeed, by clicking on “Create New prospect” you have to write the first name, the last name and the domain name of the person you would like to contact, and we will give you the email address.

Do we also find telephone numbers?

GetEmail is only able to find email addreses and extract information from LinkedIn profiles but we do not find telephone numbers because it’s extremely hard to find a direct line, and mobile phone numbers. Most of the tools which exist today are not very reliable.

Why do GetEmail find personal email addresses?

When our application find a personal email address, that means that the person chose deliberately to be contacted through this email address because it appears on his/her LinkedIn profile.

Who are your biggest customers?

We have an international clientele from all the industries. Our biggest customers are Oxalide, the web provider and Altares Dun & Bradstreet.

Who is your main target?

Our main customers are business developers, salespersons and people who work in the marketing department and would like to send emailing campaign for example. Recruiters also like our tool because it allows them to find the best applicants.

How many users do we have ?

We have more than 1000 users, and tens of registrations everyday !

What information do you have on your dashboard?

First of all, you find your prospect list (people you found through LinkedIn or through the form), with the following information : first name, last name, email address, website, position, Twitter account (if there is one). Why are our prices in USD?

We use this currency because it’s more simple since we have a lot of international users. That’s also the reason why our website is written in English.

Why do the email research is so long?

We do a lot of tests to make sure the email address you are looking for is correct.

Can I take a plan for my company?

If several people in your company are interested in subscribing to GetEmail, it’s possible to have a shared account in order to centralise your research.

Is there a way to automate the research?

We offer you the possibility to use our API key that allows you to automate your research.

We also offer a database system where we find for you the prospects and provide you a full list.

Do we have a partnerhsip with LinkedIn?

We do not have any partnership with LinkedIn because we don’t get into their database at all. We only “scan” the public data.

Which CRM is GetEmail integrated to?

For the moment, GetEmail is only integrated to Pardot. However, if you use another marketing automation tool, or a another CRM software, you can send us a request by email.


How to write an effective marketing email ?

Now that you found good prospects likely to be interested by your offer, there is an essential step that allows you to contact a high number of people in record time : the email marketing. You will contact cold propects, that is to say people you’ve never talked to before. Here are the key points on how to successfully cold email potential contacts :

♦ Choose an appropriate sender name : You have to make it easy for your prospect to understand who the message comes from. You can use the name of the company or your own name.

♦ Do not overlook the subject line : It has to prompt the opening of the email. Avoid using spam trigger words such as free, money, click, etc… ; and also the capital letters, at risk of ending up in the spams. It can be also possible (and efficient) to put the name of the person you would like to contact in the subject line (example : To John Smith).

♦ The shaping : Nobody wants to receive an email that request time to read it, and even less the CEO of a company who doesn’t have any minute to waste. The imagery has to be nice, without big paragraphs. You can use lists, with numbers at the beginning of your sentence for example.

♦ Introduce yourself ! : In the first lines of your message, do not hesitate to introduce yourself in order to lay the foundations of a welcoming first contact with your prospect. Specify in a few words what is your job, and why you would like to get in touch with your prospect.

♦ Pay attention to the content of your message : Use simple words, go the the main point. Be clear with who you are and what you offer. You can even create a “double levels reading” using bold letters. Do not forget to insist on the benefits on your product.

Your email also has to encourage your prospect to do something : visit your website, accept a phone call appointment, etc… You can end up your email asking a question to provoke a reply.

♦ And last but not least… the reminders ! : Do not send more than 4 email reminders. After your first email, if your prospect didn’t reply, wait at least 2-3 days before contacting him again. This first email reminder is useful to know if your prospect received your message. Do not follow up everyday, you would run the risk of irritating the person you’re sending the email to.

How to interpret the results of your email campaign ?

You have sent thousands, or even tens of thousands emails, thanks to one of the several exiting email marketing softwares such as MailChimp, and you have now a lot of results and statistics that you have trouble understanding… Dn’t worry, we are going to make them crystal clear for you, so that you will be able to know if the results of your email campaign are as high as you hoped.

The first indicator you have to look at, is the open rate. This is a ratio of emails opened over emails sent. It allows you to know if your object and sender were relevant. A good open rate has to be higher than 40%.

Then, you have to focus on your click rate, which is a very important indicator, because it helps you know how many people clicked on your links, and went on your website or landing page. So, this indicator allows you to mesure the interest that your recipients showed in your message, if they were attracted by what you offer them and if they can be turned into prospects or customers. A good click rate depends on several parameters : relevance and attractiveness of the contents, format of the links, etc… When your click rate is at least 10%, you can consider your email has been relevant.

To finish, if your activity necessitates an online registration, just like GetEmail, the third indicator that will let you know how successful your email campaign is ; is the conversion rate. This is the number of people who signed up on your website (it can also measure the number of people who have bought your service). The conversion rate is obviously correlated to the quality of your message, but not only, it depends also of the quality of your website. Indeed, if your registration process is not very clear, or ask for a lot time from your recipients, your conversion rate will be affected. So, what is the ideal success rate ? It has to be at least 10¨%, but for the conversion rate that measures the percentage of people who buy your service, it will be lower.

Let’s take a concrete example. If you send 1000 emails, here are the results you should have : at least 400 openings, 40 clicks and 4 registrations.

Highrise is a CRM software which is more adapted to start-up businesses. Not expensive, created for companies from 6 to 40 employees, this CRM is only available on mobiles. This sofwtare is designed for companies that are “nomadic” and comfortable with new technologies.

Zoho is a totally integrated into a marketing automation system as well as a lot of possible integrations for different uses such as mass mailing or automation workflow.

Vtiger is a CRM made for small and medium size businesses. It has all the features of a CRM software, with a integrated billing system, a payment software, and the possibility to do a “made to measure” service. Besides, Vtiger is available on mobiles, which is practical for sales representatives who are often away. Sage CRM, like Vtiger, is aimed at SMB. Their services are similar.

Sellsy, very new French CRM, is designed for very small businesses et freelancers. It has a nice price-quality ratio. An integration to a billing system is also available. Sellsy offers learning and tutorials to understand all the functionalities of their CRM softwares : this is what we can call the French touch 😉

NetSuite is a CRM software for all kind of companies, with a pricing starting at $500/month. So, this software is aimed actually at companies which are already well installed and with a necessary budget for this kind of investment.

E-Deal is the market leader of the French CRM softwares. Its main targets are the mid-market companies and big companies. The pricing is personalised, that is to say that each person chooses the features he needs.

However, you can also opt for famous time-tested CRM softwares.

Pipedrive is one of the most emblematic CRM softawres. It is very easy to understand and fits a lot of business models. Cheap, with only 12€/month/user, it has many integrations and connections, including to Google.

Salesforce is THE leader on the CRM softwares market. It is designed for all companies, from small businesses to very big companies. It allows you to keep an eye on your opportunities, your tasks and your events. Moreover, you can do a global reporting, create quotes and invoices, manage your mass emailing. Nonetheless, Salesforce doesn’t offer any personalisation concerning your selling process, and is one of the most expensive softwares.

Sugar CRM specialised in CRM softwares for small and medium-size businesses. It offers a total automation of the workflow, as well as a big storage space in the Cloud.  This tool adapt to suit your working methods and allows you to have many configurations. However, it doesn’t have any analytical tool available.

More and more CRM softwares have inegrations that give you a bigger centralizing and then a more important productivity. GetEmail will be soon integrated with SalesForce. Why SalesForce ? Because it is the CRM softwares the most used around the world. Thereafter, we will determine which CRM software we would to be integrated with, thanks to our users remarks.

What are our other services (and our new strategic priorities) ?

We just started a few months ago, so we offer the GetEmail plugin for the moment, as well as a listing service that allows you to have a list of prospects that you choose the criteria of. We already have more than 1000 users and we are growing very fast.

We have some new projects to grow our business, for example a CRM software that would allow you to send your emails directly from GetEmail with beforehand defined templates. Therefore, you would follow in a better way your emailing campaign. This is only a project for the moment because it takes time to developp it. So, in a near future, we will integrate GetEmail with more CRM softwares, to make your database easier to manage.

Moreover, our main goal is to improve everyday the quality of our service, that is to say the percentage of email addresses we are able to find to keep our position on the market of the email finding tools.
